Background
The Climate Emergency Collaboration Group (CECG) is a philanthropic collaboration between some of the world's largest climate philanthropies. Our mission is to support and build a diverse ecosystem of actors to drive just and ambitious multilateral climate action that is more responsive to the needs of the world's most climate vulnerable. Ensuring the success of the annual UNFCCC Conference of the Parties (COPs) is central to this mission, and we believe that each COP has the potential to be a catalysing moment for collective action, impactful organizing, and powerful storytelling. CECG is a sponsored project fiscally sponsored by Rockefeller Philanthropy Advisors (RPA) and will be transitioning to an independent UK charity in 2026.


Purpose of role
The Grants Manager will be accountable for managing the full life cycle of grants from pre-award management to closure through overseeing compliance, administration, and management of CECG’s grant making activities. This role is also accountable for overseeing a diverse portfolio of grants, collaborating with grantees and internal teams, and ensuring both compliance with and teamwide training on internal policies and the UK’s regulatory framework. Additionally, the Grants Manager will be responsible for the management of systems related to grants management and implementation. Finally, this role is required to compile and submit reports on grant making statistics.  
  
Primary responsibilities
The job holder will have the following key responsibilities: 
Grant management
  • Manage and optimise CECG’s grant making processes and systems.
  • Manage day-to-day grants process in close collaboration with legal and compliance frameworks in the UK, including application intake, review, approvals, award, reporting, and close out.
  • Develop and implement a due diligence process of selected grantees and resolve queries, delays, or bottlenecks. 
  • Assess and refine grant management processes, systems, reporting, and functions as needed for efficiency.  
  • Create, maintain, and iterate a grants administration procedure manual.  
  • Provide ongoing analysis of grant records and reports, including grant reports.  
  • Ensure sufficient planning and staffing to support the grant making function.  
  • Develop materials, training, and resources for the CECG team and train staff in grants procedures.  
  • Track and monitor the grant making budget,  
Compliance management
  • Review and apply the legal framework of grant making for UK Charities across internal policies and procedures.
  • Monitor adherence and ensure continual compliance with legal frameworks relating to grant making  
  • Collaborate with internal teams and partners to identify and resolve ongoing process or compliance challenges. 
  • Conduct analysis of grant related risks and make recommendations regarding mitigation plans
Data and systems management
  • Oversee the development and implementation of the grants management system, including the design, creation, and maintenance of forms, workflows, and dashboards.
  • Serve as a super user for a grant management platform (e.g., Fluxx).  
  • Drive ongoing system improvements and proactively identify opportunities to streamline and simplify technology-enabled processes in grant making.
  • Implements impactful processes, checks and balances to ensure data integrity, and provide data analysis for efficient, timely, and high-quality reporting.
Stakeholder management
  • Work collaboratively with internal teams, external partners, funders, the Board, and sub-committees.
People management
  • Provide clear direction and decisive leadership to direct reports, ensuring all are aligned with the goals and have a clear purpose.
  • Provide inspiring and motivational leadership that role models CECG’s values and behaviour and empowers and enables staff to deliver excellence.
  • Set clearly defined performance standards for direct reports, holding them accountable to achieve these, and providing support and guidance where needed.
  • Support and coach direct reports to drive their own individual development plans in order to further grow as professionals.
  • Ensure direct reports adhere to CECG policies and procedures.  
  • Resource the team appropriately, considering workloads and deliverables.
Profile
Experience
  • Five years’ management-level experience across diverse business/NGO operations in the UK.
  • Three years’ experience in developing, implementing, and documenting policies, processes, and systems, including providing guidance, and delivering training.
  • Three years’ experience in philanthropy and grant making in the UK and internationally.
  • Three years’ experience with statutory, donor, charity commission, and bank audits in the UK.
  • Three years’ experience with legal requirements within the grant making environment in the UK.
  • Two years’ experience working with grant management systems (specifically, Fluxx).
Skills and qualifications
  • Relevant bachelor’s degree or equivalent experience .
  • Qualification or certification in Grants Management, Compliance (UK).
  • Valid Passport.
