Background

The Urban Movement Innovation Fund (UMI Fund) works to connect, align, and strengthen people-power for a more socially just, zero carbon future. UMI Fund believes that people-powered movements are critical to creating a zero-carbon world, generating the drive and popular support necessary for huge political, cultural, and technological shifts. Drawing together and amplifying the efforts of NGOs working on technical or policy solutions with those of campaign or grassroots groups and movements working to increase citizen engagement and activity. UMI Fund´s goal is to dramatically accelerate humanity’s transition to a zero-carbon world. UMI Fund is a convener of the field, an advisor to philanthropy, and a grant maker. The UMI Fund was founded in 2019 and has 14 international team members.

This new role will support the work of the Operations and People Director, especially in assisting with financial planning, budgeting and reporting for UMI Fund institutional reporting as well as grant making and navigating some administrative daily tasks.

Purpose of role

UMI Fund is currently seeking a collaborative and dynamic professional to join our team as an Operations Assistant. In this newly created role, you will provide crucial support to the Operations and People department, particularly in the areas of financial planning, budgeting, and reporting for UMI Fund's institutional reporting and grant-making processes. Additionally, you will assist in managing various administrative tasks on a daily basis.

The Operations Assistant will hold a central position in UMI Fund's budgeting cycle, ensuring the accuracy and timeliness of reports. This role is highly dynamic, requiring a unique blend of analytical, technical, and communication skills. Primary responsibilities

Budgeting
  • Contributing to the development of a constructive team culture by providing support to the UMI Fund team in a participative and collaborative manner.
  • Working closely with the Operations and People Director to build a strong and efficient budget cycle to ensure reports are accurate and time effective.
  • Collaborating with team members to develop and refine budgets for various projects, departments, and the overall organization.
  • Supporting Events Leads with budgeting and financial reporting.
  • Supporting Programs with budgeting and reporting for grant making.
Monitoring and Reporting
  • Monitoring actual financial performance against budgets and forecasts, identifying discrepancies and proposing corrective actions.
  • Preparing accurate and timely financial reports to support critical decision-making including revenue, expenditures and grant-making.
  • Assisting the Operations and People Director with financial controls by tracking, reporting, and analyzing budget variances as well as cash flow management.
Administrative
  • Invoice collection, control, entry and liaison.
  • Staff expenses collection, control, entry, liaison.
  • Supporting the development of accurate financial systems.
  • Maintaining the filing system.
  • Supporting in data entry and data management.
Experience/Skills
  • Bachelor or Masters level degrees in Finance or Economics, Accounting, Business Administration or related field.
  • Strong knowledge of financial software and tools; experience with ERP (Enterprise Resources Planning) and data visualization software is a plus.
  • Availability for occasional international travel (up to two trips per year).
  • Strong ethical standards and commitment to values such as diversity and sustainability.
  • Proven experience (5 years) in similar roles.
